This policy explains what information Venus AI Consulting collects through this website, how we use it, and the choices you have. It applies to this site only, not to information exchanged under a signed engagement agreement.

Venus AI Consulting ("Venus AI Consulting," "we," "us," or "our") is a consulting firm advising on intellectual property strategy, data privacy and protection, and AI operations, governance, and deployment. This policy describes how we handle information collected through this website, including our contact forms, AI tools, search, and knowledge assistant.

It does not cover information exchanged with us under a signed statement of work or engagement agreement. Client information is governed by the confidentiality terms of that agreement.

2. Information we collect

We collect information you choose to give us and a limited amount of technical information generated when you use the site.

  • Contact details you submit through our forms — name, email address, company, service area of interest, and the message you write.
  • Content you enter into the AI tools on this site, such as policy generator inputs, risk assessment answers, and questions asked of the knowledge assistant.
  • Materials you upload to the knowledge base, if you have been given access to that area.
  • Standard technical data your browser sends, such as IP address, browser type, and pages visited, used to operate and secure the site.

3. How we use information

We use the information above for the following purposes, and we do not use it for unrelated purposes without telling you first.

  • To respond to your inquiry, answer questions, and evaluate a possible engagement, including scoping a possible statement of work.
  • To generate the output you requested from an AI tool and return it to you.
  • To operate, maintain, troubleshoot, secure, and improve the website and its tools.
  • To send you information you asked for about our services.
  • To meet professional, legal, tax, and recordkeeping obligations, and to establish or defend legal claims.

4. Legal bases for processing

Where the GDPR or a similar law applies to you, we rely on the following bases: your consent, where you voluntarily submit a form or enter content into a tool; our legitimate interests in operating a secure, useful website and responding to business inquiries; steps taken at your request before entering into a contract; and compliance with legal obligations. You may withdraw consent at any time, which does not affect processing already carried out.

5. Cookies and analytics

This site uses only the cookies and local storage needed to make it work — for example, keeping an administrator signed in to internal pages. We do not use advertising cookies and we do not sell or share information for cross-context behavioral advertising. For full details, see our Cookie Policy.

Your browser sends standard log data with every request, such as IP address, browser type, referring page, and time of visit. We use this to keep the site running and to detect abuse, and we do not use it to build marketing profiles about you.

6. AI tools on this site

Features such as the policy draft generator, AI governance risk assessment, and knowledge assistant send the text you enter to a third-party AI model provider so it can generate a response. That provider processes your input to return the result.

Do not enter confidential, privileged, trade secret, or sensitive personal information into these tools. If you have been given access to the internal knowledge base, only upload materials you are authorized to upload.

Output from these tools is an automated draft for informational purposes. It is not legal advice, and it is not reviewed by a consultant or an attorney unless you engage us to do so.

7. How we share information

We do not sell your personal information, and we do not rent or trade it. We share it only in these situations:

  • With service providers who host this website, run our database, deliver email, or supply the AI models behind our tools — limited to what they need to perform that service for us.
  • With professional advisors, such as accountants or insurers, where reasonably necessary.
  • Where required by law, court order, subpoena, or a regulatory or professional obligation.
  • To protect the rights, safety, or property of Venus AI Consulting, our clients, or the public, including investigating suspected fraud or abuse of the site.
  • In connection with a merger, acquisition, or reorganization of our business, subject to the confidentiality commitments we owe our clients.

8. International visitors

Venus AI Consulting is based in the United States, and information submitted through this site is processed in the United States and in other countries where our service providers operate. Privacy laws in those countries may differ from those where you live. If you contact us from outside the United States, you understand that your information will be transferred and processed in the United States.

9. Retention

We keep website inquiries for as long as needed to respond and to maintain our business and conflicts records, and then delete or archive them. Inputs to the AI tools are retained only as needed to deliver the feature and to diagnose problems. Knowledge base materials are retained until an administrator removes them. Where a longer period is required by law or professional rules, we follow that period.

10. Security

Access to inquiries and internal materials is restricted to authorized firm personnel, and the underlying database enforces those restrictions at the record level. Site traffic is encrypted in transit. We review access periodically and limit it to what each person needs.

No website, transmission method, or storage system is perfectly secure, so we cannot guarantee absolute security. Please use the phone number on this site if you need to share something sensitive before an engagement is in place.

11. No consulting engagement through this site

Sending an inquiry through this site does not create a consulting engagement or an attorney-client relationship, and your message is not privileged. An engagement begins only after both of us have signed a statement of work or engagement agreement. Please do not send confidential information before then.

12. Your rights and choices

You may ask us to access, correct, or delete the information you submitted through this site, ask for a copy of it, or ask us to stop contacting you. Depending on where you live, you may have additional rights under laws such as the GDPR, the UK GDPR, or the CCPA/CPRA — including the right to know what we collect, to request deletion, to correct inaccuracies, and to be free from discrimination for exercising those rights.

To make a request, email mthorner@venusaiconsulting.com with enough detail for us to locate your information. We will verify your request and respond within the time required by the law that applies to you. Some information must be retained where professional or legal obligations require it. If you are in the EU or UK, you also have the right to complain to your local supervisory authority.

13. Children

This site is intended for businesses and professionals. It is not directed to children under 16, and we do not knowingly collect information from them. If you believe a child has submitted information to us, contact us and we will delete it.

14. Third-party links and embedded tools

Some pages link to or embed third-party sites and tools. Those providers have their own privacy practices, and this policy does not cover them. Review their notices before submitting information to them.

15. Changes to this policy

We may update this policy as the site, our tools, or our practices change. The "Last updated" date at the top of this page shows when it was last revised. Material changes will be reflected on this page, and continued use of the site after an update means you accept the revised policy.
